Harmony Showcase Chorus Performance Booking Process

To have a FINAL confirmation of a performance the following must be in place - all included on the Performance Request Document (and in the order indicated in subsequent paragraphs).

  1. Performance - paid / gratis?
  2. Name of Organization?
  3. Date?
  4. Time? (how long the individual is expected to be there - warm-up, performance time and when we are finished)
  5. Location? (details include Indoors/Outdoors [covered or in the open], electrical, type of audience)
  6. Length of Performance? (so the director can decide if we have enough GOOD music to present at the performance)
  7. Available Director? (Front-Line Director or one of the Assistant Directors – please keep in mind that because a director is “available” does not mean that the performance has been accepted)
  8. Chorus members’ availability? (balance of parts)

This information needs to happen within reasonable period of time - no member should have to have a "tentative" date on their calendar for months at a time. Either we know the details or we don't, and when we do, then we'll move forward.

The booking agent needs to have 1-6 answered, in writing, to find out if a Director is available. (Please do not put the director on the spot and ask without this information)

Only after all eight are confirmed and approved (number 8 being the ultimate deciding factor) will we have the final “GO” on a performance.

Some background:

As a chorus MEMBER I would expect to know we have a director and the answers to the first 4 BEFORE I said I was available, and then, no less than 2 rehearsals prior to the performance, I would expect to know what I was singing and what makeup/costume I was wearing. Furthermore, I would expect it in writing to avoid any confusion.

At NO time should anyone feel like they MUST commit to ANY performance. I truly believe it is the sacred duty of the Management Team and the Performance Team to provide the support as well as inspire the confidence among all of the membership so that they want to accept performances, as often as they are personally available, without regard to the other individuals who may be present or what songs we might be singing.

While I personally do not consider this a "hobby" - this is still a team effort and we will only be successful when we all support each other.
